When a CMS Migration Is Worth It

There’s rarely just one reason to switch CMS platforms. Usually, it’s a combination of factors: updates become a risk, every small change requires the service provider’s involvement, licensing costs rise, or the system is no longer being developed. A migration is worth it if ongoing maintenance costs more in the long run than the cost of the move. We’ll analyze your system and provide you with a transparent cost estimate. Sometimes the conclusion is that the old CMS is still sufficient—if set up correctly. And sometimes, a website relaunch is the more sensible option.

What You Mustn't Lose When Moving

A migration involves more than just text and images. Internal links, metadata, redirects, forms, user permissions, and established structures must all survive the move. That’s why every migration we undertake begins with a comprehensive assessment: What exists, what is needed, and what can be discarded? Only then do we proceed with the migration—automated where possible, manual where necessary. A migration is a good opportunity to get rid of the old, but it’s no excuse for losing what’s valuable.

Every migration begins with an assessment, similar to a concise website check. We take stock of what your website currently contains: pages, content types, forms, interfaces, multilingual features, and any special cases that have been added over the years. This results in a migration plan that answers three questions: What will be migrated as-is, what will be rebuilt, and what will be removed? For each content type, we determine whether it will be migrated automatically or manually. The plan also includes a timeline with all dependencies, from the content freeze to the domain switchover. This way, you’ll know exactly what to expect and what it will cost before you even get started. The plan also serves as the foundation for a reliable quote. Nobody likes surprises during a migration—and neither do we. As a CMS migration agency, we deliberately take our time with this step because it sets the stage for the work that follows.

Assessment

We analyze your existing website: content, structure, features, interfaces, and technical condition. As part of this process, we identify what you find problematic about the old system and what absolutely must not be lost. The result is a comprehensive inventory that serves as the foundation for all further decisions. Even at this stage, it often becomes clear just how much unnecessary content has been carried over over the years.

Goal System and Plan

Based on the analysis, we recommend the target system: WordPress, TYPO3, or HubSpot CMS, depending on your requirements, team, and budget. The migration plan specifies which content will be migrated automatically, what will be transferred manually, and what will be omitted. It also includes a timeline, responsibilities, and the redirect strategy. You’ll know in advance how much the migration will cost and how long it will take.

Setup and Migration

We’ll set up the new system, create templates and content types, and migrate the content according to the plan. Migration scripts will handle the bulk of the work, while we’ll review critical pages individually. Meanwhile, your old website will remain online as is. Your team can track progress in the staging environment at any time and provide early feedback before details become costly.

Testing and Acceptance

Before the migration, we conduct systematic testing: content verification against the legacy system, features, forms, performance, mobile display, and all redirects. You’ll review the new website yourselves and give your approval. Only when both parties are satisfied will the go-live date be set. A migration gets exactly one chance, which is why we take this step seriously.

Go-Live and Support

The migration will take place during a period of low traffic, with a rollback plan in place in case of an emergency. Afterward, we’ll monitor visibility, load times, and error logs, and resolve any issues that arise during operation. Your team will be trained on the new CMS. If desired, we will subsequently handle ongoing maintenance to ensure the new system remains in the same condition as when we handed it over.
